Aloha and a Very Warm Welcome
Thank you for your interest in our second annual O’ahu Fringe Festival (OFF) 2012.  Please read the following Artist Information before you fill in the application form.  If you have any questions, please contact us at

The O’ahu Fringe Festival is a performing arts festival that welcomes artists with a show from any genre to participate. We are looking for shows that are innovative and new, whether in form or concept or entirety and that embrace the spirit of "fringe".  The Fringe will be held over 3 Nights in Chinatown Honolulu on the Island of O’ahu in Hawai’i, set for November 8 – 10, 2012. 

Please note, OFF is a festival that presents your show, it does not produce your show.  While we promote the festival as a whole it is still your responsibility to get out there and spread the word about your show. Start a fan club or do whatever to get people to your show.  Get them excited!  We are super excited!   Please plan in advance so that all your needs are met.


I’d Love to Participate. What do I Need to Know?
You must have a show to perform.  If you don’t have a show ready, go ahead and sign up; you’ve got plenty of time to whip together a unique show. Get your application in early; being part of O’ahu Fringe Festival will be based on a First Come, First Serve.

Participation Fees

$200  – for productions performing two or three times
$120  – for productions performing once only


$50 – non-refundable deposit fee to secure you slot (minus this from your full participation fee)

Please note:  The non-refundable deposit fee of $50.00 must be paid to O’ahu Fringe at the time of applying via paypal from our Home page.  The remainder of your participation fee will need to be paid within seven days of receiving a confirmation email from O’ahu Fringe that we received your application and deposit.

Failure to pay will mean you will be moved to the end of the waitlist.   If you apply and are waitlisted you will still need to pay the non-refundable deposit fee of $50.  Your participation fee will only be accepted if a slot becomes available.

Please Note:  If the Money Order or Cashier’s Check does not clear, you are responsible for covering the costs of any fees associated with this process.  If this is not cleared up within due time, your application will be immediately moved to the end of the waitlist.   We don’t want this to happen, so please take careful consideration when processing your Money Order or Cashier’s Check.



Artist Benefits
*   Participants will receive a 60/40 box office split. 60% to the artist.  40% to the venue.
    Please allow up to three weeks for O’ahu Fringe to completely finish its administration business before your check is mailed out to you.
*   The opportunity to be part of the O’ahu Fringe Festival and wow the audiences. 
*   A venue for your show.
*   Promotion via OFF website, program, flyers, posters, traditional and online social media.
*   Full box office services through Hawaii Theatre Box Office.
*   A tech operator to run lights and/or sound.  Please remember to keep you tech needs simple.
    (in special circumstances you may be able to use your own tech person).
*   Artist Fringe Card (AFC)  for artist and crew only. The AFC entitles you to FREE entry to any show, pending space availability. 
    Once paid audiences and volunteers are seated, any seats available will be taken up by you.



Schedule
There is a maximum of doing Three Shows or Two.  This will depend on whether we receive a high number of applicants, then the maximum number of performances will be two.  This will allow other productions the opportunity to perform one time only and to be part of O’ahu Fringe. 
 
If you prefer to do one show only, please indicate this on the application form. 
 
O’ahu Fringe Festival will endeavor to allot a primetime performance hour for all productions.  No guarantees here, but we will try.



Venues
Fringe venues for this year are still being negotiated.  Please check back for more info
.   Please indicate on application form if you would like to be considered to perform in a Fringe Venue.  We will attempt to house your show in the most appropriate Fringe Venue.  If you miss out on this, please do consider using a non-traditional performance venue.

Last year’s O’ahu Fringe Festival venues included: The ARTSmith, The ARTS at Marks Garage,  Ong King Arts Centre and theVenue.


PLEASE DO NOT CONTACT THE VENUES.  IF YOU HAVE ANY MATTERS RELATING TO THE VENUE AS PART OF THE FRINGE PLEASE CONTACT US FIRST.  O'AHU FRINGE IS IN PARTNERSHIP WITH THE VENUES AND WE WANT TO KEEP OUR RELATIONSHIP IN GOOD HARMONY.  PLEASE KEEP THIS IN MIND, IT IS VERY IMPORTANT.


Non-Traditional Performance Venue (NTPV)
Yes, we welcome productions that will use non-traditional performance venues (NTPV).  These can be a bus stop or bathroom, parking stalls, parking garages, rooftops, bars, kitchens, diners, grocery stores, sidewalk or even your bedroom or lounge – basically any place you want to perform in, as long as it is in the Chinatown/Downtown Honolulu area.  For productions using non-traditional venues, please note you will need to furnish documents that clearly outlines you have insurance, permits and all necessary information including the rights to use the space for your fringe performance. 

Please make sure you obtain these documents.  Not having all documents will result in cancelling your show plus loss of all fees.   So, please plan well ahead, we want you to perform in a safe and stress free environment.

You are solely responsible for organizing your NTPV with everything it needs for your performance, including front of house staff, box office staff, technical needs, seats, volunteers, etc…. This will be a challenge, but it is worth it to take your audience on a journey and perform in a non-traditional performance venue.


Ticket sales to your show will still be managed by O’ahu Fringe.  Please see Ticket section below.


Technical
Remember, simple tech needs are best. 
Please keep in mind that our confirmed Fringe Venues will have basic technical only with light and sound.  Some venues will not have a full lighting grid.  Therefore, it is imperative that you keep your tech needs simple.  With a number of shows sharing the same space, the venues will only have a minimal lighting plot which will be shared with very little or no specials.  Please keep your cues simple.

Each show will have one cue to cue set up in the venue.  Tech will be held three days prior to Fringe.  For those in Honolulu, you will be given a tech time to go over your show. Note, this time is not for running or rehearsing your show, it is for setting your tech needs only.  For those out of town, please provide us with a tech sheet that clearly indicates your lighting and / or sound cues.  We will request your tech needs at a later date.

Additional props for your set or anything you need must be provided by you.  The venues will not be able to provide you with any props or a set.  It is recommended that your set be as minimal as much as possible.  Also, if you will use a projector and screen or any other equipment, it is your responsibility to provide them, but please be advised that the venues may not be able to accommodate your additional equipment.

Please bring your own stage manager for your show as one will not be provided.  Also, keep in mind that if you would like to use your own Lighting/Sound Operator there may be an opportunity to do so. This will be discussed later once tech needs are finalized.  

STRIKE TIME IS 10MINS.  SET UP TIME IS 20MINS. AS YOU ARE STRIKING, THE NEXT SHOW IS SETTING UP.  PLEASE KEEP TO YOUR TIME.  BE NICE AND SHARE THE SPACE AS YOU STRIKE AND SET UP.

Why is the strike and set up times so short?  Fringe productions cannot rely on extravagant sets or lighting plots due to the number of shows involved.  It would be impossible to manage so many lighting plots and cues, hence the fixed times.  If you feel your show is unique and it must have a super lighting plot, please be advised that your show would not be suitable for the Fringe.  Please take this into consideration.  You must keep to your strike and set up times.

Fringe Venues will not be able to store anything for you.  Set pieces, furniture, wardrobe or anything that you brought and use must be removed at end of each show. 

Please Note:  We will slot you into the most appropriate performance venue for your show.

NTPV  - for productions using non-traditional performance venues you are asked to abide by the above as you possibly can within a fair and reasonable conduct.



Tickets
Tickets for all shows at O’ahu Fringe Festival will be sold through Hawaii Theatre Box Office
www.hawaiitheatre.com  during normal business hours.  Additional tickets can be purchased at each venue on night of show.  All seats are general admission. The venues will not take phone sales and/or reservations.  Door sales are cash only.

Fringe Ticket Price will be capped at:  $10.  A booking fee applies to credit card and online purchases and will be charged to your customers.   Please print “a booking fee will apply” on your promotional materials.  Door sales will not have a booking fee. 

You may charge less or offer discounts if you prefer, but please make sure your discount method is simple.  

We will request more information on your ticket prices at a later date. Please note that you cannot change your ticket prices once you send it to us.

Tickets set at $10 or less will make it affordable for Fringe audience to see more than one show a night and also on other nights.  The whole idea of setting an affordable ticket fee is to encourage audiences to fully participate and enjoy a night out at the Fringe.  Traditionally you go and see one show, but with affordable tickets and fringe venues in close proximity, audiences can go from one show to another and enjoy a wide performing arts experience.

Complimentary Tickets
Please note that OFF will provide our sponsors with complimentary tickets to see your show.  We will also do ticket give-away to promote the festival through our marketing campaign.

Additional complimentary ticket give-away by you or company is at your discretion, but it is advisable to keep this to a limited number.  As our Fringe season is a short one, carefully consider giving out comps. Limit this to those that helped you out or to your sponsors.  Or those whom you feel will be able to spread the word and help to generate interest for your show.  Giving out too many comps will not generate an income for you to cover your costs.  Excite your potential audiences and supporters so they will be happy to support you by paying a ticket to see your wonderful show.



Marketing
Yes, we all need to promote.  O’ahu Fringe Festival will promote the festival as a whole, and you will promote your show. We’re a team and together we’ll involve Hawai’i, visitors, artists and audiences, and bring them to our Fringe.  With all your marketing whether it be online or on printed materials, you must include the O’ahu Fringe logo - this will be sent to you later.   And if you do get a radio, TV, or other promo slot, please mention O’ahu Fringe; where it’s happening, and don’t forget to highlight your performance dates and times.

To reiterate, YOU will be doing your own press and marketing, however you are not alone!  If you are new or local to the Honolulu area, we will provide you with a list of media outlets and contacts in order to get your show’s name out there.  We’ll help get you started.

Don’t forget to include where tickets can be purchased at
www.hawaiitheatre.com or at the venue on the night of the performance. Include the venue’s address on your promo materials. 

Below are some points to consider for your marketing campaign:
Press Kit – includes press release, photos, blurb, contacts, and other relevant info.  
Flyers – Save money and create flyers, which are easier to handle.  Give it to people.
Posters – If you have the money create a vibrant poster, but keep it simple. Highlight your dates.
Self Distribution – Pass out flyers at local theatres, or other performance events, but please call first for permission.  We do not want to annoy potential supporters, so please call for permission.
Your Program – Keep this simple, very useful to include thank you, and sponsors.  People will take it with them and they may pass on to others thereby further promoting your show.
Fringe Festival programs – If your budget allows for it, consider placing a paid ad in OFF program.  Ad sizes will be sent to you later.
Media Interviews – If you know someone in the media contact them first.
Social Media –Use it, it is free and it reaches many. 
Ads – If your budget allows for it, place an ad in your local rag, on an online travel mag, an arts website or another site you regularly follow.  Find a site that is perhaps related to your show. 
Fringe Show n Tell – Get ready to promote your show during our Lunch Time Show n Tell.
Image – Yes, one image can sell your show to your audience. Make it count.
Word of Mouth – the big one; people talk, contact your networks via email or call and have a chat – sell them your show.

O’ahu Fringe will request an electronic press kit from you which will be emailed to the media when they contact us.  But don't forget you must still promote your show, so please keep you press kit handy and current.  For info on how to create a press kit, please do a search online as there are many sites that offer examples on this.

Remember, the best way to promote and pull in a crowd is to give your audience a memorable show that they cannot forget.  Make them come back for more.  Word of mouth is very powerful.  And if you have any other ideas on promotion – pass them on to your fellow Fringey Members; they would appreciate it.
 


International Artists
If you are applying from outside the United States, O’ahu Fringe Festival is not able to sponsor artists who require a visa. To be part of our Fringe as an international artist, it is your sole responsibility to obtain the necessary documentation for visas and other information to work and gain income in the US.  We will offer support where we can.

Accommodation - Out of Town Artists 
Out of town artists must be able to pay their own way to Hawai'i and locate and pay for their own accommodation.  The Fringe will make a call out for volunteers to house visiting artists, but please don't rely on this; it will depend on whether we will have volunteers to house you.


Withdrawing from the Festival
We understand that sometimes the universe holds us from doing what we want, so yes we will refund your participation fee, minus the non-refundable deposit fee of $50.00 before July 7.  Please request in writing to withdraw.  After July 7, 2012 no refunds will be permitted.

Before you contact us to cancel, please consider other sources that would help, for example, replacing someone that needs to leave, or modify your show so that it can go on.  We really want you to be part of this wonderful occasion.



Audience Refunds
Please note, if you cancel your show and tickets were purchased, you the artist or company will make a full refund to the ticket holder and / or pay for any fees associated with the cancellation of your show to the O’ahu Fringe Festival.


OK, So What is the Next Step?
When registrations open this Sunday May 27 fill in the online application form and submit it.  Then please immediately go to the Home page 
– select online payment link, fill in your payment details and submit your non-refundable deposit fee of $50.00.  Please use the same email and contact name for submitting your fee and application, preferably the primary contact.  So we know it is you.

Your application is deemed valid only after the non-refundable deposit fee of $50.00 is paid. This fee must be received via online payment link on the same day as your application.    When we confirm the receipt of your application and deposit, the remainder of your participation fee must be paid within 7 days of the confirmation to secure your performance slot.

Please Note: Applications received without the non-refundable deposit payment will be moved to the end of the waitlist until full payment is received.  Which means those that are on the waitlist will move ahead of you. Please plan accordingly.  If we do not hear from you and do not receive payment – we will assume you will not be part of O’ahu Fringe Festival for 2012.  We will miss you, but we do look forward to your participation at the next Fringe.



Remember The Big Deadline
Open registration will begin on Sunday May 27, 2012.  The online application will go live at approximately 10 a.m. Hawaii Standard Time.  The deadline to apply for the O’ahu Fringe Festival is Saturday August 11, 2012 at 5 p.m. Hawaii Standard Time, or when all performance slots are filled.  We will accept late applications but you will immediately be placed on our waitlist.  All shows that apply will be contacted via email.  Shows that secured a performance slot will need to pay the remainder of their participation fee within 7 days of receiving confirmation of their performance slot.

Please Note: Nonpayment of your participation fee will result in forfeiture of a performance slot and you will be moved to the end of the waitlist line. Please plan accordingly. 


This is Very Important
Please make sure that you correctly leave your contact details and mailing address.  And by all means contact us if you do not receive a confirmation email from O’ahu Fringe Festival within 7 days of when you applied.  Email us at oahufringe@yahoo.com. 

The O’ahu Fringe Festival team will endeavor to answer your questions in a timely manner.  However, as an all volunteer team, we may not be able to reply immediately, but we will do so as soon as possible.
